Grants Management Offficer Vacancy in Ethiopia 2021

The Grants management Officer will be a critical member of the Finance Team, reporting directly to the Vice Director. The Grants Officer works across all grant fund utilization areas, including collaborating with finance and IT to ensure effective and efficient grant utilization burning rate processes. The Grants Management Officer will also serve as the system administrator for the Foundation’s grants utilization database. The officer is responsible to carry out the undermentioned activities;


Duties and Responsibilities of Grant management officer

  • Plan project fund utilization schedule
  • Manage project fund burning rate
  • Report project fund burning rate to program and finance team
  • Monitor utilization of project fund as per project agreement
  • Control procurement activities in line with project budget schedule
  • Manage proper distribution of purchased goods/emergency goods to the target groups or beneficiaries
  • Report procurement and distribution status of procured goods to vice director
  • Monitor grants for legal, financial, and program compliance including but not limited to ensuring that grant requirements are correctly documented in the grant files and database.
  • Monitor and document the grantmaking workflow processes, forms, templates, reports and data to assure full compliance with internal controls and legal requirements.
  • Generate grant budget utilization and data analysis reports for program and finance team
  • Work with finance to generate reporting required for compliance and financial statement audits.
  • Partner with Director of Programs and Finance and Administration Manager to ensure accurate and adequate paper and electronic document retention
  • Works as a team with other Grants Office staff in performing grants office activities and assists the college with obtaining and maintaining external funding.
  • Work as a team in the implementation of bidding process
  • Control the timing and legal process of procurement
  • Control and Document organization’s properties both in hard and soft copies
  • Work as a team member of the finance section within imagine1day international organization
  • Administer the current and future project budget burning rate database system, including managing data hierarchy, data quality, data retrieval, coding and reporting, particularly with respect to compliance, and monitoring, evaluation
  • Ensure all staff are aware and knowledgeable of timely grants fund utilization processes and technology to the degree their functions require. This includes designing training staff of all departments formally and informally.
  • Design and maintain filing systems for the Foundation’s paper and electronic records.
  • Participate in weekly Program Team staff meetings, including provision of work-related updates.
  • Maintains necessary records, files, reports, databases, and resource materials pertinent to Grants
  • Office activities.
  • Performs other duties as assigned.


Qualification and Field of specialization

  • Masters’ degree in Business administration, Accounting, Marketing, Business management, project management, development studies and other related fields

Work Experience

  • At least 6 years proven experience in the area with at least 4 years’ experience in section or team leading leadership position

Other skills

  • Proven basic computer skill: word, Excel, Access and other applications as required
