                Under the guidance and supervision of the Human Resources Analyst, the Human Resources Clerk supports the provision of human resource document management services in ensuring high quality, accuracy and consistency of work. The Records Clerk promotes a client-oriented approach consistent with UNDP rules and regulations.


The Human Resources Clerk works in close collaboration with the PMSU, Programme and Operations staff in the country office and that of the RSCA and other Agencies to exchange information and ensure consistent service delivery.


                Duties and Responsibilities

                Summary of key functions:

  1. Support to implementation of HR strategies;
  2. Support to implementation of HR services;
  3. Support to UN-related surveys;
  4. Support to knowledge building and knowledge sharing.

Duties and Responsibilities:


  1. To support implementation of operational strategies, adapts processes and procedures focusing on achievement of the following results:
  • Full compliance of HR processes and records with UN/UNDP rules, regulations, policies and strategies;
  • Clerical support in preparation of checklists.
  1. To support implementation of HR services of the CO and the RSC focusing on achievement of the following results:
  • Processing of contracts (FTA/TA, SCs) and tracking of HR documentations related to positions, recruitment, benefits, earnings/deductions, retroactivity, recoveries, adjustments and separations through Atlas;
  • Provision of support to the CO staffing table and CO rosters management system;
  • Support in management of routine correspondence, faxes, memoranda and reports in accordance with CO SOP;
  • Maintenance of proper filing system for HR records and documents;
  • Support HR team in maintaining HR e-filing system and archive;
  • Support HR team in regular updating of file inventory, identify incomplete documents/files and follow up with HR focal point;
  • Regularly submit inventory report to supervisor;
  • Support supervisor and management in HR audit process.
  1. To provide support to the conduct of UN- and UNDP-related surveys focusing on achievement of the following results:
  • Support HR team in file management of the survey, meeting minutes of relevant data.
  1. To support facilitation of know/edge building and know/edge sharing in the CO and the RSC focusing on achievement of the following results:
  • Participation in the training for the operations/projects staff on HR;
  • Contribution to knowledge networks and communities of practice.

                Required Skills and Experience


  • Secondary Education with specialized training in administration.


  • Minimum 3 years of relevant administrative and records management experience is required. Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and experience in handling of web-based management systems.

Language Requirements:

  • Fluency (both written and spoken) in English and Amharic.
