Procurement and Logistics Officer at JSI Ethiopia

Transform: Primary Health Care is a USAID funded project to improve healthcare outcomes to End Preventable Child and Maternal Deaths (EPCMD) in Ethiopia, which in turn supports Government of Ethiopia’s efforts within the Health Sector Transformation Plan (HSTP). Transform: Primary Health Care Project will operate in the four most populous regions of Ethiopia (Amhara, Oromia, Tigray and Southern Nations, Nationalities and People’s Region). This will be accomplished in part by: mitigating the drivers of child and maternal mortality in these regions through the facilitation and implementation of quality health service delivery; improved management and performance of health systems; and implementation of innovative and evidence-based social behavioral change and communication interventions. The Project will strengthen the capacity of the health system to effectively use management tools and implement best practices at all levels of the health system and health care delivery with a major focus at the primary care level that includes primary hospitals and PHCUs.
Position Purpose
Under direct supervision of operations Manager the Logistics and Procurement officer is the responsible to ensure the compliance of Financial and Procurement Rules and Regulations during any procurement and also responsible to ensure timely, cost effective and safe delivery of goods and services to the organization.

Procurement  Support
  •  Prepare all necessary documentation for procurement of goods and services in accordance with JSI rules and regulations.
  • Obtain quotes in line with the Procurement Policies and Procedures Manual for supplies, materials and to be purchased by the Project.
  • Inspects purchased items against specification and/or samples, collect and delivers to store;
  • Maintains proper filling and documentation of procurement transaction ;
  • Advises staff members on specifications, prices, availability and other procurement matters;
  • Prepare all necessary documentation for handling logistics of goods and services procured in accordance with JSI rules and regulations, and any other documents as needed;
  • Maintain the records on procurement process and related documents and files to ensure transparency and accountability
  • Maintain a database of suppliers and update it regularly
  • Maintain a database of goods in movement and deliveries completed;
  • Assist the operations manager  in following up with Suppliers and Freight Forwarders to ensure timely and safe delivery of goods and services and take up logistics coordination responsibilities as and when required;
  • Follow-up maintenance of office equipment
  • Assist in following-up and get VAT clearance from USAID
  • Travel planning and management
  • Central store management  
  • Follow regularly the post office to collect mails check mails are properly delivered
  • Coordinate maintenance of office equipment and furniture
Logistics Support
  • Management, control and accountability of all fuel supplies and provide fuel management support including contingency planning and storage for both regional office
  • Ensure that all fleet asset and driver administration is executed in a professional manner and in accordance with JSI standard procedures and legal obligations as per the traffic law in Ethiopia 
    This includes fleet inventory, vehicle and driver data files, registration, annual inspection and documentation of import/export/transfer of fleet assets, accident management and insurance matters as well as transport documentation
  • Ensure that accidents and insurance claims are properly handled; insurance benefits are properly negotiated to the benefits of JSI
  • Ensure that all fleet assets are serviced, maintained and cleaned according to standard maintenance guidelines and schedules
  • Provide technical assistance and advise to all field locations on maintenance to ensure that the entire fleet is serviced and maintained equally
  • Produce detailed vehicle management reports on monthly, quarterly, and annual basis to the Operations Manager.
  • Provide support and advise all field locations on reporting needs and procedures to ensure accurate reporting on all fleet management aspects.
  • Carry out regular visits to regional/cluster office  to coordinate the fleet management to ensure the implementation of JSI standards and procedures equally at all locations
  • Ensure appropriate documentation, tracking and filing of all procurement activities by following standard procedures and guidelines of JSI to ensure traceability of all documents and expenses
Store Support
  • Follows up issuance of GRN, and updates procurement status report; Prepares payment requests and follows up collection of cheque by the suppliers;
  • Maintain appropriate stock of frequently used supplies through establishing a reorder level consistent with monthly usage
  • Liaise with the procurement coordinators and warehouse service coordinator to ensure all stored materials earmarked for a specific location are made ready for onward transport, either by charter, JSI vehicles, or hired trucks to maximize storage space
Job Requirements
  •     BA Degree in Transport Management, Logistics Management,   management or equivalent education level gained through practical experience and/or job related courses.
  •  At least 5 years of proven experience working in Transport/Fleet Management, Procurement 
  • Minimum 3 years in supervisory positions either in a commercial or humanitarian environment
  • Advanced technical qualifications in automotive engineering is an advantage.
  •  Proven ability to work as a member of a multicultural development team
  • Excellent English writing and communications skills required,Computer literacy

A Room Attendant is responsible for cleaning guest rooms and replenishing amenities to deliver an excellent Guest and Member experience while managing guest requests in a timely manner.


What will I be doing?

As a Room Attendant, you are responsible for cleaning guest rooms and replenishing amenities to deliver an excellent Guest and Member experience. A Room Attendant will also be required to manage guest requests. Specifically, you will be responsible for performing the following tasks to the highest standards:
  • Clean guest bedrooms and bathrooms
  • Vacuum rooms and corridors
  • Change and replenish bed linen, towels and guest amenities in line with company guidelines
  • Undertake regular deep cleaning tasks
  • Restock and maintain trolley on daily basis
  • Report any missing or damaged items to the Housekeeping Supervisor and own the responsibility to ensure that the items are replaced or repaired so to create an uninterrupted or impaired stay for the Guest
  • Ensure that all equipment inside and around Guest rooms as well as in work areas and used when performing housekeeping responsibilities is in working condition
  • Be environmentally aware
  • Dispose of waste accordingly
