Under the guidance and supervision of the Admin and Travel Officer, the Office Clerk provides reliable services.

 Functional Responsibilities


  1. Ensures maintenance of registry/filing system focusing on achievement of the following results:
  •  Maintenance of the office filing system
  • Opening of new subject files as required and disposal of old files in accordance with the established retention schedule.
  •  Maintenance of archives, making sure files are properly stored and accessible; safe keeping of documents
  • Photocopies of material from the confidential registry files, as requested by staff. Assistance in the collection of  reference and background material from registry files
  •  Maintenance of records system of file movements within the office; maintenance of the office circulation and reading files.
  •  Preparation of correspondence and reports related to registry activities
  •  Participation in the creation and maintenance of an electronic registry/archive system in close cooperation with the ICT staff
  1. Ensures provision of effective mail management focusing on achievement of the following results:
  •  Receipt, registration, coding and forwarding of incoming faxes, letters and other correspondence to proper department/unit/officer and distribution of all necessary copies within the office.
  • Registration and dispatch of the outgoing communications, including pouch, and follow-up distribution. Prepares the summary of enclosure forms and necessary documents and maintains the file on pouches received to ensure that all bags are accounted for.
  1. Provides routine office services, focusing on achievement of the following results:
  • Maintenance of a stock control and supply system for all office consumable items
  • Make sure stationary supplies are registered and their use monitored quarterly for effective control of their deployment.
  •  Help actively in relocation and reorganization of office spaces for new staff and visitors as requested.
  • Handle the reservation of Meeting Room for Conference and workshop and check the meeting room is ready, coordinate refreshment/water as requested.
  • Assist the Admin Associate to ensure that relevant expenses are covered by petty cash, as per UNOPS policies. 
  • Assist the Admin Associate with assets & custodians registration and quarterly physical inventory.
  • Ensuring the proper functioning of office utilities, e.g. water supply, electricity, etc.)
  • Ensuring that all cleaning and maintenance requirements of the office are satisfied; supervision of cleaning teamClerical assistance and support in compilation of reports and finance documentation
  1. Provides tactful, efficient receptionist functions, focusing on achievement of the following results:
  • Receipt of all visitors and incoming phone calls and directing them relevant unit/ individuals
  • Respond to all queries (by phone or in person) respond with discretion

 Education/Experience/Language requirements


Education:         

Completion of secondary school or equivalent.

Experience:       

2 years of relevant work experience.  Ability to work with computer and office software packages (MS Office 2003 and/or newer versions) and knowledge of spreadsheet and database packages

Written and oral English and the language of the duty station required.  Knowledge of second UN working language desirable

Key Responsibilities:

Requirements:

  • Minimum of 5 years of demonstrated experience in NGO project management, including Human Resource Management, budgeting, report-writing, proposal development, and monitoring and evaluation.

Job Summary:

The role holder will work as a member of the Save the Children International Africa Union (AU) Liaison and Pan Africa Office team based in Addis Ababa, Ethiopia. S/he will support the Humanitarian and Education Advocacy theme in the delivery of projects on the promotion of the rights to education for children affected by humanitarian situations; including children affected by armed conflict (CAAC), children on move, and the overall advocacy for the protection of the rights to education for refugee children in Africa at the AU level.

KEY AREAS OF ACCOUNTABILITY

  • With a focus on education and the right to protection for children affected by humanitarian situations in Africa, especially conflicts. The program officer will:
  • Support the developing of an AU and Pan Africa annual advocacy work plans and messaging for AU events and used in Save the Children International Offices and other civil society organizations(CSOs) working at country level in providing education for refugee children and those migrating and/or in transition.
  • Build functional relationships with regional level economic blocks including IGAD, ECCAS, SADC, and ECOWAS as well as civil society organizations working with them to prioritize education for children affected by humanitarian situations on the continent.
  • Support the develop a reference document on strategic engagement at the AU Commission humanitarian events by the Departments of Political Affairs, Peace and Security Council and Human Resources Science and Technology; including advocacy tactics and actions for engaging bilaterally or collectively within particular AU missions who have made commitments on providing refugee education at the World Humanitarian Summit in Istanbul and UN General Assemblies on refugees.
  • Map AU, Regional and National level opportunities and develop an action plan and influencing plan for prioritizing refugee in targeted countries.
  • Produce ongoing progress reports on monthly and quarterly basis,
  • Organize regular meeting either virtually or face to face with partners to coordinate activity and to contribute to engagement plans.

QUALIFICATIONS AND EXPERIENCE

Essential

  • Masters or Degree Undergraduate degree in Law, Social Sciences or Education. A Master’s degree preferred.
  • Minimum 2 years of policy research and/or advocacy experience.
  • Excellent oral and written communication in English. Working knowledge of French is an advantage
  • Experience working on humanitarian and education issues at Pan Africa, Regional or National levels within an NGO, AU or UN agency.
  • Have a demonstrated strong understanding of the AU’s education, migration and refugee frameworks, as well as human rights instruments, are highly desirable.

This position is in support of Boeing Global Services (BGS) 787 CSP for a major airline based in the region. Boeing 787 CSP, part of Boeing Global Services Supply Chain, provides a dedicated pool of high-value, dispatch-critical parts for airlines, while helping them to improve operations support and cash flow. With the Boeing 787 CSP, the airline removes a part from the airplane and ships it for exchange with a new unit from Boeing's exchange pool.   As key part of the responsibility for position, candidate will directly work with various internal Boeing organization and external airline functional organizations to coordinate and manage the distribution and storage of all incoming/outgoing exchange program parts. The selected candidate will be responsible, but not limited, to the following duties on a daily basis:  
  • Enters, tracks and monitors customer/replenishment orders as required.
  • Analyzes material location and takes proactive measures to perform redistribution.
  • Analyzes and processes material returned from customers.
  • Work with airline material personnel and management (if necessary) to ensure that the unserviceable parts return on-time to Boeing warehouse.
  • Identifies and resolves customer supply chain management issues and discrepancies.
  • Responds to customer inquiries and coordinates delivery problem resolution.
  • Follow up with freight forwarder on delivery, freight invoices, etc.
  • Follow up with clearing agents until the arrival of goods to customer airline warehouse.
  • Follow up with clearing agents the status of all shipments under clearance and report it to local and Seattle Boeing leadership.
  • Prepare special documents to get approval for importing any hazardous materials that needs prior approvals.
  • Monitors performance metrics, performs trend analysis and takes mitigating action to meet performance objectives and identify opportunities for improvement.
  • Maintains internal/external supplier/customer interface with regular communication

DUTIES/RESPONSIBILITIES
  • Provide managerial and technical leadership for maintaining and improving program quality

  • “Support the design, implementation and coordination of assessments, research and evaluations; as well as the collection and analysis of baseline socio economic data and profile for potential program design.
  • Monitor programs for compliance through participation in portfolio review meetings, regular reporting, frequent communications and routine on-site visits, providing guidance and implementing corrective action as necessary.
  • Provide guidance and coordinate with Area Offices to provide technical support to Local Partner organizations; and support in actual design of new initiatives to ensure quality standards.
  • Together with the program team, undertake a regular capacity needs assessment on relevant programmatic issues and develop a prioritized capacity building plan and coordinates with HR on staff related capacity building activities;
  • Supervise, guide and support the program development, implementation and monitoring and evaluation team.
Minimum Educational and Experience Required: MA degree in Developmental Studies, Rural Development, Economics, Project Design or related fields. Additional trainings in project management is highly desirable.
Eight years of demonstrated experiences in design, monitoring and evaluation of complex programs in a range of sectors; out of which at least four years of experience in senior level management
Required Knowledge, Skills and Personal Attributes
  • Demonstration of knowledge of program design; grant acquisition and management; resource stewardship, and cross functional coordination
  • Outstanding written and oral communication skills in English.
  • Demonstrated ability to build, develop and foster relationships internally and externally
  • Prior supervisory experience and ability to coordinate and coach multi-disciplinary teams.
  • Excellent administrative, communications, negotiation and decision-making skills.
  • Highly developed analytical skills and the ability to assimilate and process information on a wide range of issues.

Position: Project Coordinator (#1)

Key Responsibilities:
The Project Coordinator is responsible for coordination and follow up of the Resilience Building for Sustainable Livelihood and Transformation (RESULT) Project with funding from European Union (EU) implementated by the consortium partners in South Omo Cluster. The incumbent will facilitate coordination with government organizations and government run PSNP/HBAP, MFIs and others to forge smooth relationship and coordination. He will also facilitate external technical support, including consultancy missions and external evaluations. He is responsible for making sure that donor and government contractual obligations are fulfilled. He will also be responsible to support and supervise the work of the iDE Project field coordination unit staff in South Omo cluster based at Turmi.

Requirements:
  • MSc Degree in Agricultural Economics, Agri-Business management, Agricultural Extension, Rural Development, Irrigation Engineering Agricultural Engineering and related fields.
  • Minimum of 5 years of demonstrated experience in NGO project management, including Human Resource Management, budgeting, report-writing, proposal development, and monitoring and evaluation.
  • Excellent command of written and spoken English.
  • Creative, entrepreneurial and resourceful approach to smallholder market development with an understanding of sustainable private sector and value chain methodologies.
  • Excellent leadership skill with particular skills to work as a catalyst and facilitator.
  • Excellent organizational and decision-making skills.
  • Prior experience in NGO, multilateral or bilateral organizations is of a great advantage.
  • Team player and ability to work with people of multicultural and diverse interests.
  • Willingness to travel to rural areas and ability to work under pressure.
  • Proficiency in Microsoft suites, graphics and statistical software.
