GENERAL ASSIGNMENT: 
Assist  manage the base human resources and manage the administrative aspects, personal File records, Office management & other functions incompliance of company’s policy and procedural manual and on employees code of conducts.

Duties and Responsibilities

Follow up administratively main office base human resources:

  • Keeps the database on staff updated including leaves, disciplinary records, attendance and all related HR statistics;
  • Draft / complete employment contracts template and send to HRM administrator for validation and final approvals;
  • Follows, summarize attendance record of employee on monthly bases, pass for payroll preparation after approval of HRM;
  • Prepare, organize templates related to HR & Admin services; like employee leave, per diem, allowance, medical sleep;
  •  Insure to induct new employees of administrative issues and human resources; Participate in training new staffs about company Procedures and history;
  •  Prepare employee Identity Cards, hang /fixing belt and keep record in the staff list;
  •  Follow-up the staff’s leaves: annual leaves, sick leaves... And ensure to keep track record of written record and send monthly summery report to HRM;
  •  Monitor payments and keep track records on both the database and personnel file;
  •  Keep a staff list by their employment contracts, location and list of end-of-contract dates for the Head Quarter & branch Office employees and submit to Human Resource Administrator;
  • Sort all documents in the local employees’ individual files and check that all files are complete and updated;

Manage employees’ (local) social insurance:

  • Register new employees and their legal successors; keep a record in their respective personnel file;
  • Review medical prescriptions & Leaves submitted by employee and validate, propose & facilitate for necessary action as per company personnel policy.
  • Prepare reports on accidents at work and take the necessary measures in case of death or to end a contract; ensure contacts with local partners (insurance, social       security, pension fund);
  • Ensure contacts with service supplier & partners (Insurers, hospitals, Service providing Companies... etc.) When see fit for the Bases;
  • Participate in assessing Human Resources & Admin services development, satisfaction level and on employee social & personal benefits; and on policy in guidance of the HR Manager; 

Assist the hiring process administratively:

  • Keep record of the job opening requests with updated Job descriptions;
  • Draft job vacancy announcement in consultation with the technical / functional department heads/supervisors and passes /send for HRM validation;
  • Ensure the post of vacancies on electronic websites, news paper, at field sites or at base office as appropriated;
  • Organize the recruitment process in co-operation with unit leaders, HRM & job-seeker: schedule appointments, tests, replies;
  • Receive and keep track record of all applications received and ensure to communicate to candidates of the written and interview results;

Facilitate the transfer of information and documents; Assignment:

  • Translate administrative documents up on request;
  • Look after incoming faxes and ordinary mail and transmit them to the persons            concerned after having registered them; type, register and send faxes, mails and    letters;
  • Photocopy and scan documents; Sort and file documents; Register, copy, dispatch and archive all incoming documents (letters faxes…).
  • Perform any duties assigned by his /her immediate supervisor.
 

Job Requirements

Qualification/Level of studies: 

  • Diploma / Degree in Human resources or administration or related field from a recognized university/college with 4/2 years’ experience respectively. 
  • Experience in Business Company is advantageous.

Required skills: 

  • Professionalism – Good organizer – Sense of confidentiality – Computer skills (English & Amharic writing) – Good knowledge of English language both speaking and writing;

  • Collects branch / satellite Office staff timesheet and send to concerned division every month,
  • Establish supply, Update and receives Newspapers, Magazines subscriptions and distributes to the delegated department /employee promptly.
  • Carries out all types of mandatory reports as per the job division out lined among the staff of the department;
  • Performs any additional tasks as assigned by his/her supervisors.

  • Diploma/ BA degree in HR management, Public administration, ICT and other related fields.
  • 3 years of relevant work experience for diploma holders or 1 year relevant work experience for BA degree holders.

MSF Holland is looking for:  Medical Store Keeper

Main Purposes

 

Administer receipt, storage, and issuance of medical supplies and food items for the project(s) and according to the supervisor´s instructions and MSF standards, in order to ensure the overall functioning of MSF activities.

Execute medical warehouse storing activities in order to keep medical stock above security level and following recommended conditions (temperature, humidity, etc.) under the supervision of the deputy logistics coordinator

 

Main objectives and Responsibilities of the position

 

Receipt of goods:

·         Reception of goods from international and national orders. 

·         Responsible for checking of the quantity and quality of goods received.

·         Use Goods Receiving Note or trip invoice/packing list when receiving goods.

·         Inform the line manager of any problems (missing, expired or damaged goods, etc.) using standard MSF tool (SMS).

·         Immediately after receptions of goods, update stock cards and/or create stock cards for all stock items and encode same information in inventory monitoring tool (MSR).

·         Check the cold box directly on reception and control the cold chain-monitoring card and feedback the supply department.

 

Stock management:

·         Ensures that all stock movements are recorded according to MSF purchase and supply procedures.

·         Set up and maintain a proper organisation of the storage area according to family, storage procedures, and that all correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).

·         Keep a special control of “sensitive” goods numbers of lots, expiry dates, and packaging and special storage conditions.

·         In conjunction with the supervisor, perform physical stock counts in accordance with the frequency previously defined.

·         Immediately inform the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse

·         Reports monthly on potential ruptures and any items that will expire.

·         Responsible for monitoring the store temperature and ensure Cold Chain items are stored in an adequate temperature

·         Assist the line manager with preparation of the stock report.

 

Sending of goods:

·         Priorities sending according to field needs and order delivery limits.

·         Prepares stock requests on time. Before sending goods, ensuring good quality of packing material.

·         Definition of freight according to available transport means.

·         Pack (according to transport means), weigh and label freight (destination, number of shipping units, way bill number, weight and mode of transport) and assign a shipping number to each package, in accordance with the line manager’s instructions.

·         Ensure good quality of cold chain according to the cold chain policy.

·         Ensure correct documentation of sent good (stock cards, way bills, packing lists, logistics software etc)

 

Other

·         Keep areas of storerooms and warehouses clean and tidy.

Report any incidents to supervisor (accidents, loss or damage of goods/equipment etc)

 

Job Requirements

Education

·         Essential: Diploma or above in Pharmaceuticals management and related field.

·       Desirable: secondary education or training in warehouse/materials management.

Experience

·         Minimum of two years previous experience as a storekeeper.

Languages            

·         Local language and English both written & spoken.

Knowledge

 

Competences

·         Essential: basic mathematics and use of measuring equipment.

·         Essential: computer literacy (word, excel)
